Junior Resources Manager (all genders)
Highsnobiety is looking for a Junior Resources Manager to join our Procurement team in Berlin. Sitting at the heart of our creative agency, you'll be the operational backbone of how we work with freelancers and vendors, keeping our database accurate, our onboarding tight and our contracts, POs and performance feedback flowing on time.
You'll work closely with our Senior Procurement Manager, Team Leads and Working Students across multiple departments to make sure every freelancer engagement at Highsnobiety runs smoothly from sourcing through to invoice close-out. If you're highly organised, love a good system, and want to learn the ropes of procurement and resource management inside a fast-moving creative agency, this is the role for you.
YOUR MISSION:
Source and maintain an up-to-date database of freelancers and vendors across all relevant disciplines and departments.
Support Team Leads in briefing and selecting appropriate freelancers for projects when needed.
Maintain freelancer onboarding and offboarding checklists, guidelines, and workflows keeping them up-to-date as the business grows.
Maintain and support the ongoing development of the freelancer rate bracket philosophy, flagging deviations or pressure points to the Senior Procurement Manager.
Support the Senior Procurement Manager when reviewing procurement spend, contributing data, context, and freelancer-side insight.
Collect and log freelancer performance feedback using a standardised scoring system.
Track freelancer performance over time and proactively flag underperformers to the Senior Procurement Manager and relevant Team Leads.
Take ownership of the contract and PO creation workflows, ensuring all paperwork is correctly issued and signed. Act as the escalation point on these topics.
Track and stay up to date on freelancer availability across projects, in close coordination with Team Leads.
Escalate complex or non-standard situations (negotiations, compliance edge cases, performance issues) to the Senior Procurement Manager.
YOUR SKILLS:
1–3 years of professional experience in operations, resource management, procurement, talent coordination, or production within a creative agency, production company, or media environment.
Highly organised, detail-obsessed, and comfortable managing multiple workflows and stakeholders in parallel.
Confident with databases, spreadsheets, and software operational tools and excited about making them work more efficiently.
Comfortable working with contracts, POs, and rate frameworks or a strong willingness to learn quickly.
Excellent written and spoken English; working proficiency in German is a strong plus.
Strong communicator who can liaise with creative teams, finance, freelancers, and senior stakeholders with equal ease.
High level of discretion when handling sensitive information (rates, contracts, personal data, GDPR).
Proactive, solutions-oriented mindset. You spot issues before they become problems.
A genuine interest in how creative agencies run behind the scenes, and an enthusiasm for building scalable systems.
Curiosity, initiative, and a willingness to learn and contribute ideas.
A hands-on, can-do attitude and openness to new challenges.
Bonus: Familiarity with procurement workstreams. Prior contract management tools usage, exposure to production resourcing, or prior experience in a creative/fashion/media agency.
WHAT SUCCESS LOOKS LIKE IN YOUR FIRST 6 MONTHS:
The freelancer and vendor database is accurate and up to date.
All active freelancer contracts are current and signed.
Onboarding, offboarding, contract and PO workflows are documented, running smoothly, and visibly improved on the version you inherited.
Working Students and Team Leads know the workflows, where to find what they need, and who to go to when things break.
